Understanding The Private School Admission Application
Embarking on the private school admissions process is a significant step in your child’s education journey. While the application process may seem daunting, Howell Academics is here to provide guidance every step of the way. Start by familiarizing yourself with the admissions timeline below and do not hesitate to ask for assistance.
Private School Admissions Timeline
The typical admissions cycle for Canadian private schools, both day and boarding, spans an entire year before enrollment. While some schools offer rolling admissions, most operate on fixed deadlines. Here is a general timeline to help you stay organized and proactive.
August–October
Discovery Phase
Begin your private school search early, aiming for August to October. At this stage, you will want to narrow down potential schools based on location, grade level, program offerings, and family preferences. Howell Academics offers personalized Private School Admissions services that help identify schools that align with your unique needs.
Once you have a list, delve deeper into each school by exploring their websites, attending informational sessions, and connecting with parents who have experienced the admissions process. While thorough research is key, some hidden gems may still be off your radar. Consider booking a discovery call with us to learn more about our services.
ASAP
Make an Inquiry
Submitting an inquiry form to schools you are interested in is a vital first step. By doing so, you signal your intent and start building a relationship with the admissions office. While this form is often optional, we recommend completing it as soon as possible, as it sets the stage for open communication and ensures you are up to date about important deadlines.
October–December
Interviews, Open Houses, and Tours
October through December is the time to immerse yourself in school visits, whether through open houses, interviews, or guided tours. Engaging in these activities not only helps you and your child experience the school environment but also demonstrates genuine interest. This connection can be invaluable when the admissions committee makes its final decisions.
During these visits, you will have the opportunity to interact with school staff, teachers, and students. Be sure to ask questions and gather as much information as possible to help you make an informed decision.
As part of our commitment to supporting families through every step of the admissions journey, Howell Academics proudly offers an exclusive benefit to those enrolled in our Admissions Packages: Access to the Admissions Strategy Academy®.
October–November
Completing the Application
Private school applications are comprehensive and typically require you to complete an initial online form. This form gathers basic family information and may also ask for a student essay. Completing this step grants you access to the school’s admissions portal, where you will be able to view additional requirements and deadlines.
If you are applying to multiple schools, consider booking a discovery call with us to learn more about how we can make your admission application smooth and easier.
October–December
Transcripts and Teacher Recommendations
Requesting transcripts and teacher recommendations should be done thoughtfully. Many schools provide official forms for these requests, so be sure to follow each school’s specific guidelines. Requirements vary depending on the grade level, with elementary applicants typically needing a parent statement and a general recommendation, while middle and upper school students may need recommendations from their English and math teachers.
To allow ample time for teachers to write thoughtful recommendations, make these requests by early November. However, do not submit requests too early, as teachers will need time to get to know your child before providing feedback.
October–January
Testing and Assessments
For younger students, particularly those in primary grades, assessments might be required as part of the admissions process. These evaluations are often academic-based, administered by school officials, and aim to assess key skills like reading, math, and verbal reasoning. For international students, tests such as the TOEFL or IELTS might be necessary to gauge English proficiency. However, it’s important to remember that while test scores are significant, they do not reflect your child’s full potential.
At Howell Academics, we offer Ready Learning® Programs such as Kindy Ready®, Admissions Prep®, and Testing Ready®, combining Emotional Intelligence (EQ) with admissions-ready skills—crucial for every child's educational journey and beyond. By enrolling with our Ready Learning® Programs, families gain exclusive access to the Ready Learning Hub®, which features hands-on activities, support from academic specialists, and resources authored by certified ECE and primary teachers, all aligned with learning standards.
*Suitable for grades JK-10.
November–January
Application Deadlines
Application deadlines vary between schools, but mid-January is the most common cutoff in Canada. Some schools have earlier deadlines, typically around October 31 or early November. It is your responsibility to ensure all documentation, including transcripts and recommendations, is submitted on time. A helpful tip is to list all deadlines on your calendar and keep a visible reminder in your home.
October–January
Financial Aid Applications
Many private schools offer tuition assistance through financial aid or merit-based scholarships. Financial aid applications often open on October 1, and families must submit detailed financial documentation, including income statements and tax returns. Deadlines for financial aid applications typically range from mid-December to late January, so it is crucial to manage these timelines alongside your admission applications.
Howell Academics offers consultations to help families navigate financial aid processes and ensure all required documents are submitted accurately and on time.
February–April
Enrollment Decisions
After completing your applications, the wait begins. Canadian schools generally release admission decisions in November, while some schools may notify families as late as April. Schools operating on rolling admissions will provide decisions as soon as all components of the application are received and reviewed.
If your family is invited to a revisit day, seize the opportunity to experience the school environment again and ask any lingering questions before making your final decision. Keep in mind that enrollment contracts are typically due two to four weeks after receiving an acceptance letter.
